  • Role Overview

Chariots Capital Indonesia is seeking a highly organised and proactive Administrative Executive to support the smooth and efficient operation of our

office. This role is integral in ensuring strong administrative processes, seamless coordination across departments, and a professional working

environment.

The ideal candidate is detail-oriented, resourceful, and capable of managing multiple priorities in a dynamic, fast-paced setting while maintaining a high

level of accuracy and discretion.

  • Key Responsibilities
  1. Office & Administrative Management
  2. Oversee day-to-day office administrative operations to ensure efficiency and organisation
  3. Maintain proper filing systems (both physical and digital), records, and documentation
  4. Manage office supplies, pantry items, and equipment; monitor inventory and coordinate replenishment
  5. Ensure all purchases follow company procedures and approval workflows
  • Coordination & Communication
  1. Manage incoming and outgoing correspondence, including emails, calls, and mail handling
  2. Coordinate meetings, appointments, and calendars, including preparation of meeting materials
  3. Arrange travel logistics, including flights, accommodation, and itineraries where required
  • Documentation & Reporting
  1. Prepare and format reports, presentations, and internal documents with a high level of accuracy
  2. Support data entry, tracking, and basic reporting across departments
  3. Ensure proper documentation and record retention in line with company standards
  • HR & Operational Support
  1. Provide administrative support for HR functions, including onboarding coordination and attendance tracking
  2. Assist in maintaining employee records and supporting internal communications
  3. Support company events, staff activities, and internal initiatives when required
  • Vendor & Office Management
  1. Liaise with external vendors, service providers, and building management
  2. Ensure timely servicing, maintenance, and compliance of office facilities
  3. Maintain a professional, clean, and well-organised office environment
  • General Support
  1. Provide administrative assistance to management and various departments as needed
  2. Handle ad hoc tasks and projects assigned by management in a timely and professional manner

Kualifikasi Minimum

Requirements:

  • Bachelor’s degree in Business Administration or a related discipline
  • Minimum 3 years of relevant experience in an administrative or office support role
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Strong organisational and time management skills
  • Excellent written and verbal communication skills
  • Fluent in Bahasa Indonesia and proficient in English (both written and spoken)
  • High level of professionalism, discretion, and attention to detail
  • Ability to work independently and collaboratively
  • Preferably able to start work immediately
