The Position

We’re looking for a proactive and organised General Admin, Operations, & Social Media VA to support a growing residential construction business in Australia. This full-time, remote role, working closely with the business owners to develop systems and processes, manage daily admin and operations, create SOPs, and strengthen internal workflows. If you’re detail-oriented, solution-focused, and thrive in a structured role, we’d love to hear from you.

About the role

  • A confident and experienced VA with a strong background in admin and operations.
  • Someone that is proactive and loves organising, streamlining, and improving systems and processes.
  • A great communicator who can work closely with an internal team (site foremen and apprentices).
  • Comfortable reading and understanding manuals, product specifications, and construction-related documentation.

The Details

  • Job Location: Remote, work from home.
  • Company Location: Australia
  • Job Type: Full-time 40 hours per week.

  • Hours (in Philippine Time): 7am to 3.30pm PHT

Responsibilities

General Admin & Operations

  • Check inboxes, prioritise tasks, and flag any urgent client or supplier communications.
  • Maintain and organise documentation in Google Drive, ensuring clarity and ease of access.
  • Prepare and format SOPs, internal process documents, and project templates.
  • Support the team by documenting weekly project meetings, distributing action points, and ensuring follow-ups.

Research & Resource Management

  • Research products, technical specifications, and installation guides to assist with compliance.
  • Cross-check deliveries and spec sheets to ensure the right products reach the site.
  • Help source better ways to structure, store and retrieve job documentation across departments.
  • Keep track of new tools (e.g. Loom, Google Sites, ClickUp) and make recommendations to improve operational efficiency.

Team Support & Coordination

  • Be the point of contact between the office and internal site team.
  • Assist with onboarding new team members by sharing documented systems and SOPs.

Basic Design Support

  • Format documents, internal templates, or social posts using Canva (based on existing brand assets).
  • Light content formatting, no strategy or campaign creation expected.

Software Skills

  • Google Workspace, Zoom, Loom, and basic screen recording tools, Canva (basic to intermediate use). Familiar with project tools like ClickUp, Monday CRM, or Asana.

Kualifikasi Minimum

  • At least 4+ years of experience as a General Admin and Operation VA (Social Media) VA working online directly for US, Australian, or European clients.
  • Experience in residential construction is highly desirable.
  • Confidence with project management and CRM tools.
  • Strong communication, time management, and attention to detail.
  • Exceptional English written and verbal communication skills with the ability to liaise well with key stakeholders.
  • Experience with social media management, Canva and/or other design programs.
  • Exceptional organisational, multitasking, and time management skills.
  • A proactive attitude and the ability to manage multiple tasks independently.
