Job Summary
WorkWhile requires vendor support to maintain 24/7 coverage on the IndeedFlex VMS for our client OnTrac. Contractors will manage job allocations, book workers within strict SLA windows, ensure timesheet accuracy, and maintain worker profiles. This role is critical to preventing slot loss, meeting SLA deadlines, and ensuring a positive client experience.
Key Responsibilities
Dashboard Monitoring & SLA Compliance
● Monitor IndeedFlex VMS for new job allocations
● Click “Respond” immediately and complete booking actions
● Maintain 4-hour SLA for all job requisitions
● Remove unfilled allocations when needed
Worker Booking & Data Entry
● Add and update worker profiles (legal name, DOB, email, SSN last 4)
● Bulk upload workers during surge windows
● Select & confirm all shift dates before booking
● Manage replacements, swaps, and cancellations
Attendance & Timekeeping
● Confirm worker clock-ins & clock-outs
● Record first/second shift punches and meal breaks
● Escalate clock-in issues to IndeedFlex support
● Mark no-shows and assign replacements
Timesheet Accuracy
● Adjust and submit timesheets daily
● Complete all weekly timesheet submissions before Monday 11:59 PM CST
● Remove workers from future shifts when absent
Worker Support
● Contact workers who cancel or fail to confirm shifts
● Provide shift details, access instructions, and expectations
Work Schedules:
● Night coverage: 5 PM–12 AM PST
● Weekend coverage: 8 AM–8 PM PST
● Surge coverage: support during 300–500-slot releases with 48-hour fill deadlines
● Must respond to alerts & allocations in real time (notifications enabled)
Kualifikasi Minimum
Qualifications:
● Vendor Management System familiarity (IndeedFlex preferred)
● High attention to detail
● Strong data entry accuracy
● Experience with staffing workflows
● Ability to work independently during off-hours
● Professional communication skills
Work Schedules:
● Night coverage: 5 PM–12 AM PST
● Weekend coverage: 8 AM–8 PM PST
● Surge coverage: support during 300–500-slot releases with 48-hour fill deadlines
● Must respond to alerts & allocations in real time (notifications enabled)
