Job Description

We are looking for a detail-oriented, organized, and proactive Junior Secretary to join our team. In this role, you will work closely with and directly support our Senior Secretary in managing day-to-day administrative operations and ensuring seamless executive support for the business owner.

This is an excellent opportunity for an aspiring administrative professional to learn from a senior mentor, gain exposure to executive-level operations, and grow within a dynamic business environment.

  • Administrative Support: Assist the Senior Secretary in handling daily administrative tasks, including data entry, document scanning, photocopying, and systematic physical/digital filing.
  • Office Coordination: Manage incoming and outgoing correspondence (emails, letters, and packages) and route them to the appropriate channels.
  • Meeting & Event Logistics: Assist in coordinating meeting logistics, including room bookings, setting up equipment, preparing presentation materials, and arranging refreshments/travel accommodations.
  • Visitor & Call Handling: Act as a welcoming point of contact for office guests, answer initial phone inquiries, and screen/direct calls efficiently.
  • Expense Tracking: Assist in compiling internal expense reports, organizing receipts, and managing basic documentation for reimbursement or petty cash.
  • Task Execution: Follow up on general administrative action items as assigned by the Senior Secretary to maintain operational efficiency.

Minimum Qualifications

  1. Diploma or Bachelor’s Degree in Secretarial Studies, Business Administration, Communication, or a related field.
  2. 1–2 years of experience in an administrative, secretarial, or personal assistant role.
  3. Excellent proficiency in Microsoft Office suite and Google Workspace
  4. Strong organizational and time-management skills with the ability to prioritize tasks efficiently.
  5. High level of integrity, discretion, and professionalism in handling confidential business information.
  6. Excellent verbal and written communication skills in Indonesian. proficiency in English is a major plus
  7. Adoption of a proactive attitude, strong attention to detail, and a willingness to learn from senior team members.
