We are looking for a detail-oriented, organized, and proactive Junior Secretary to join our team. In this role, you will work closely with and directly support our Senior Secretary in managing day-to-day administrative operations and ensuring seamless executive support for the business owner.
This is an excellent opportunity for an aspiring administrative professional to learn from a senior mentor, gain exposure to executive-level operations, and grow within a dynamic business environment.
- Administrative Support: Assist the Senior Secretary in handling daily administrative tasks, including data entry, document scanning, photocopying, and systematic physical/digital filing.
- Office Coordination: Manage incoming and outgoing correspondence (emails, letters, and packages) and route them to the appropriate channels.
- Meeting & Event Logistics: Assist in coordinating meeting logistics, including room bookings, setting up equipment, preparing presentation materials, and arranging refreshments/travel accommodations.
- Visitor & Call Handling: Act as a welcoming point of contact for office guests, answer initial phone inquiries, and screen/direct calls efficiently.
- Expense Tracking: Assist in compiling internal expense reports, organizing receipts, and managing basic documentation for reimbursement or petty cash.
- Task Execution: Follow up on general administrative action items as assigned by the Senior Secretary to maintain operational efficiency.
Minimum Qualifications
- Diploma or Bachelor’s Degree in Secretarial Studies, Business Administration, Communication, or a related field.
- 1–2 years of experience in an administrative, secretarial, or personal assistant role.
- Excellent proficiency in Microsoft Office suite and Google Workspace
- Strong organizational and time-management skills with the ability to prioritize tasks efficiently.
- High level of integrity, discretion, and professionalism in handling confidential business information.
- Excellent verbal and written communication skills in Indonesian. proficiency in English is a major plus
- Adoption of a proactive attitude, strong attention to detail, and a willingness to learn from senior team members.
