As a Virtual Receptionist, you will:
- Manage virtual reception for our client, handling inbound calls, emails, and social media messaging
- Help our client drive their business forward by enabling them to focus on the important items
As a Virtual Receptionist, your daily tasks may include:
- Handle all phone calls effectively with politeness and in a professional manner while following the proper procedure per client
- Triage new patient referrals and schedule appointments for them
- Handle remote reception and overflow, afterhours, and weekend tasks
- Manage incoming (virtual) faxes from the clinic’s inbox, then import them into the relevant patient’s file and forward them to the relevant doctor
- Respond to inquiries via phone calls (inbound and outbound)
- Cross-train with assigned client accounts (processes, systems, etc.)
- Handle social media and website inquiries
- Assist in creating a manual of the team processes
- Maintain up-to-date records of potential patients and patients within the CRMs
- Perform other relevant tasks as required by the client, which may include:
- Process information for multiple health and dental sites
- Collect data and information with great attention to detail and accuracy
- Undertake reception duties to support day-to-day requirements of the business
- Identify and maintain a list of health and dental patients
- Make outbound calls to warm prospects who have engaged with the marketing materials
- Meet or exceed daily KPIs, with a focus on consultation appointments booked
- Be the first point of contact for health and dental patients and create an amazing first impression
- Report to your team lead on perceived areas of improvement
- Utilize an operating system to gather prospect information
- Perform other admin tasks as assigned by the Team Leader
Minimum Qualifications
- Proficient with Microsoft 365 applications such as Outlook, Teams, and Excel
- Minimum 2 years’ work experience in an admin role
- At least 1-year call handling experience
- Experience in handling Australian accounts or dealing with Australian clients
- A fit to work status upon completion of the Pre-Employment Medical Exam (with drug test)
- A valid NBI Clearance

- You are open to working part-time and on rotating shifts (early morning shift or mid-shift), holidays, and weekends.
- You are an excellent conversationalist in English, with proven effective call-handling skills.
- You deliver high-quality and professional service, having an outstanding attention to detail.
- You are technologically adept and highly trainable in new skills and software.
- You excel in multitasking, meeting strict deadlines, and performing your duties with minimal supervision.
- You have absolute respect for confidentiality and sensitivity, having the flexibility to perform other relevant tasks as required by the client or management.
Advantageous (Optional but a plus if you have)
- Experience in any medical-related software
- A clear, neutral accent
